How to Choose a Hotel PMS: 10 Questions to Ask Before You Commit
Searching for "hotel PMS" returns a wall of vendors, each promising to run your property better than the last. The feature lists look almost identical, and the differences that actually decide whether you will still be happy with the system in a year are rarely on the pricing page. This is a checklist of the questions worth asking before you commit to any hotel property management system, ours included.

1. How is it priced, and what grows the bill?
Hotel PMS pricing is calculated in a handful of ways: per room, per property, per month, per booking, or as a percentage of the reservations that pass through it. Ask which one applies, and then ask what makes the bill go up: adding rooms, adding users, adding a channel, or simply having a good month. 2. Can you start without connecting any booking channel?
Many properties are not ready to hand their Booking.com and Expedia connections to new software on day one, and they should not have to. A good PMS lets you run reservations, check-in and check-out, guest charges and housekeeping by hand first, and import your existing bookings from an export file. Live two-way channel sync is then something you switch on when you trust the system, not a condition for using it at all.
3. What happens to your existing bookings?
Ask how the system takes in reservations you already have. Re-typing a season of bookings is a quiet reason many trials die in the first week. Look for imports from the exports your channels already produce, and find out what the system does when the same reservation is imported twice.
4. Who can see and change what?
An owner, a front-desk agent and a housekeeper do not need the same screen. Check whether staff accounts have roles, whether the owner can see revenue without being able to break the calendar by accident, and whether there is an audit trail of who changed a price or moved a guest.
5. How does it prevent double bookings?
Overbooking is the failure everyone buys a PMS to avoid. Ask exactly what the system checks before it accepts a reservation: existing bookings, blocked rooms, rooms out of order. Then ask whether those checks also apply to bookings made by hand at the front desk and to reservations that arrive from a channel. Our guide to overbooking explains where the gaps usually are.
6. Can it handle how your property is really set up?
A system designed for a tower hotel assumes identical rooms stacked on floors. A resort with villas, a guesthouse with a dormitory, or a glamping site with tents and cabins has different inventory. Check that you can define your own room types, price each type separately and add seasonal rate periods without a support ticket.
7. What does the money side look like?
Guests charge a dinner to their room, extend a night or get a refund. The PMS should keep one running account per stay (a guest folio) and produce totals you can trust at checkout. 8. How good is the end-of-day routine?
Closing the day by hand with receipts is slow and error-prone. Look for a night audit that summarises occupancy, arrivals, departures and revenue for the day. We walk through the idea in Night Audit Explained.
9. Can you get your data out?
Ask before you need to. You should be able to export your guests and reservations in a standard format, and the vendor should be able to tell you how and where your data is backed up. The basics are in hotel guest data backup and security.
10. What happens when you need help?
The honest test is how a small question gets answered. Is there a chat inside the product, or only a ticket form? Who answers, and in which time zone? For a property that runs around the clock, support that only exists in office hours of another continent is a real cost.
A simple way to compare
Take a copy of a real week from your property: a few arrivals, one extension, one room out of order, one charge to a room. Run that exact week through every system on your shortlist during the trial. The one that handles your messy week with the fewest clicks is almost always the right choice, whatever its feature list says.
