How Much Does a Hotel PMS Really Cost in 2026?
Ask most PMS vendors "how much does this cost?" and you'll get a demo call booked, not a number. That's not an accident — pricing in this industry is built around custom quotes, and the quote depends on how many modules you say yes to during the call. Here's what independent research and the vendors' own published pricing pages actually show, so you know roughly what you're walking into before that call.
What the big names actually charge
None of these publish a single fixed price — all of them quote per property based on room count, region, and which modules you add. But published pricing pages and independent research give a reasonable picture:

Figures from published vendor pricing and independent PMS-pricing research (sources at the bottom of this article) — not vendor-confirmed quotes, since none of the three publish a simple price list. Treat these as a starting range, not what you'd pay.
The pattern that matters more than any single number: the quoted monthly minimum doesn't scale down for small properties. A 12-room guesthouse and a 40-room hotel can both hit the same ~$180–300/month floor on the entry plan — so the smaller you are, the more you're paying per room.
The costs that don't show up in the "starting at" number
- Setup and onboarding — independent research puts this at roughly $500–$2,000 for a small-to-mid property doing a straightforward migration, more if there's a lot of historical data to move or custom configuration involved.
- Payment processing markup — some PMS platforms act as the payment processor themselves and add their own margin on top of the base card-processing rate, on every transaction, indefinitely.
- Channel manager as a separate add-on — the base PMS price frequently excludes the module that actually syncs your availability to Booking.com/Expedia. That's often billed separately.
- Per-room minimums — several plans are priced "from $X/room" but with a monthly minimum that only makes per-room math favorable once you're well above 20–30 rooms.
What this means if you don't want to overpay for a PMS
Add it up and a property connecting to OTAs with one of the larger platforms can realistically be looking at $200–400+/month before payment processing margins, once setup is amortized — regardless of size, for a property where the actual daily need is: see the calendar, check people in and out, keep the channels in sync, and run a night audit. That's not a criticism of those platforms — some of that cost buys revenue management tools, POS integration, and multi-property support a small resort may never use. It's just worth knowing what you're paying for before you sign, and whether you're paying for capacity you'll actually use.
